Onboard your team and organisation

Vouch is different. It's all about tapping into your and your organisation's extended network to reach applicants and referrers alike. You can always promote Vouch ads on job boards and paid marketing, but we always advice enabling your network in parallel.

1. System Setup

  • Slack Integration:

    • Set up the Slack or Teams integration.

    • Create reminders in relevant channels (e.g., “HR-team,” “All-staff,” and “Leaders”).

      • Monthly reminder: “Hi team! Remember our referral program with Vouch – do you know someone who might be a good fit for our openings? Click here to refer [link to Vouch].”

    • Create weekly reports in Slack (or Teams/email) for key personnel (e.g., “This week we received 3 referrals, 1 candidate, and 10 job views”).

  • Website Integration:

    • Set up a white-labeled referral or careers page under your own domain (e.g., careers.yourcompany.com) and link to it on your website alongside your current careers page.

    • Add a banner or modal on your website:

      • Text: “Do you know someone who would be a great fit for us? Refer them and get rewarded!”

      • CTA: “Refer a candidate.”

  • Integrate with ATS for candidate management (if desired)

    • Send candidates who accept directly into your ATS, and vice versa.

    • Or use the built-in screening and tracking.

  • Invite team leads and key personnel to the Vouch platform to more easily share and set up campaigns

    • Note: You can grant access per position only (position and candidates) or full access (admin).

  • Internal Workshop

    • Host a one-hour workshop with team leads and HR to demonstrate how Vouch works.

    • Show how to share positions and submit referrals via the platform.

    • Share a demo video showing how it’s done (Vouch can provide a standard demo).

2. Laying the Foundation for Internal Promotion

  • Playbook and Training:

    • Distribute a brief one-pager/demo video that includes:

      • How Vouch works.

      • Best practices for referring or sharing.

      • Sample text and posts for sharing on LinkedIn or within personal networks.

      • Information about the reward system.

3. Communication (regular updates, not all at once)

  • Introduction Email/Slack/Teams to Employees:

    • Send an email/message to all employees: “We’ve launched a new referral program with Vouch. Both employees and people you know can refer candidates to us. Refer your next colleague and get $$$ if they’re hired (you can refer them open or anonymously). Can’t think of anyone right now? Feel free to share our job openings with people you know or on social media — maybe your network can help.”

  • Set Up Customized Slack/Teams Messages:

    • Weekly/monthly messages are available on selected team channels.

  • Highlight the Option to Refer Anonymously to Lower the Threshold:

    • Offer anonymous referrals: “Not sure if a candidate is a good fit? Ask us or refer anonymously.”

  • Inform About Flexible Rewards:

    • Remind employees that they can donate part of the reward to charity or even to the candidate they refer — that is a pretty unique hiring process.

Best practices for referring & sharing

Think beyond your immediate network – past colleagues, classmates, or even acquaintances can be great candidates. You can even vouch anonymously if you prefer that.
Be specific – mention why the person would be a good fit when referring.
Encourage others to refer – share the referral link in your professional groups or to your followers on LinkedIn and elsewhere.
Make it personal – when sharing, try to add a short note about why it’s a great opportunity.


How to Share Open Roles

💡 On LinkedIn:
📢 “Hey everyone! We’re looking for a [Position] at [Company Name]. If you or someone you know would be a great fit, check out this opportunity! You can refer them here: [Vouch Link] (And yes, there’s a reward if they get hired! 😉)”

💬 Via Direct Messages or Slack:
"Hey [Name], we have an open role for a [Position] at [Company Name] – know anyone who might be a great fit? You can refer them easily here: [Vouch Link] (And there’s a reward if they get hired!)."

📩 Via Email:
Subject: Know someone for [Position]?
Hi [Name], we’re hiring a [Position] at [Company Name], and I thought you might know someone who fits the role! If you refer them and they get hired, there’s a reward. Here’s the link to refer: [Vouch Link]. Let me know if you have any questions!
