Share a booking link with a candidate

A booking link only helps once it's in front of the candidate. You can hand it over two ways — paste the raw URL, or drop it straight into a candidate email so it travels with your message.

Once created, a booking link looks like: /book/user/{calendarId}/{slug}

From the booking links list, click the copy icon next to any link to copy the URL.

Insert a link into a candidate email

  1. Open the message composer for a candidate.
  2. Click the Booking link button (or type @ in the message body).
  3. Select the link from the dropdown — it's inserted as a clickable URL.

This is the recommended path: the link lands inside the email candidates are already reading, so booking is one click away rather than a separate hunt for a URL.

What the candidate sees and does

The candidate opens the link, picks a slot inside your availability, and lands on a confirmation that tells them to "Check your email for a confirmation email with calendar invites and meeting details." The event is written to your calendar automatically — no acceptance step on your side.

Plans change, and candidates can manage their own booking from that confirmation page rather than emailing you:

  • Reschedule opens "Choose a new date and time for your meeting"; confirming with Update Booking moves the event on your calendar and the candidate sees "Booking updated successfully!".
  • Cancel Booking asks "Are you sure you want to cancel this meeting? This action cannot be undone." — Keep Booking backs out, confirming shows "Booking cancelled successfully!".
  • A link whose time has already passed shows a Booking already passed state, so an old invite can't be re-used by mistake.

Because the candidate drives these changes, your calendar stays the single source of truth — you don't have to relay a reschedule by hand.

Troubleshooting

The link looks broken or shows a placeholder in an email. This means your calendar isn't validly connected at send time. Vouch warns you before sending: "Your calendar connections are not valid, candidates won't be able to schedule via interview links. Are you sure you want to continue?" Reconnect under Connect your calendar before sending, or the candidate will hit a dead end.
