How messaging works

Before you send your first message, it helps to know the one rule that everything else follows: a message in Vouch is always attached to a candidate, and — when relevant — to a job stage. That attachment is what keeps the whole history in one place and lets the Assistant write something that fits where the candidate actually is.

The two message types

You pick one per message:

  • Email — Vouch sends the email directly to the candidate's email address on your behalf. Shows From as you, delivered through Vouch's managed sending infrastructure. Use this when you have an email on file and want delivery, tracking, scheduling, and replies handled for you.
  • External message — Vouch drafts the message but does not send it. You copy the text and deliver it yourself (LinkedIn, WhatsApp, etc.). When you're done, choose Mark as sent to log it in the candidate's timeline. Use this when the conversation lives somewhere Vouch can't reach — but you still want the record kept.

Where messages show up

All messages — sent, scheduled, and drafts — appear in two places:

  • The candidate's activity timelineCommunications filter.
  • Your company Inbox — a single unified list across all candidates and jobs.

Good to know. "External message" isn't a lesser option — it's how you keep a complete history even for channels Vouch doesn't send through. A LinkedIn DM logged with Mark as sent sits in the timeline next to your emails, so the next teammate to open the candidate sees the whole story.
