Watch a calendar (auto-join meetings)
Last updated: June 19, 2026
Where: Meetings → Assistant → the calendar watch list below the Bot Settings.
Heading: "Choose what calendars to automatically transcribe meetings from"
"If selected, the transcription bot will automatically transcribe any new meetings matching the criteria."
Watching a calendar is what makes the Assistant automatic. Instead of remembering to invite the meeting assistant to every interview, you tell Vouch once which calendars to monitor and which kinds of meetings to join — and from then on the bot shows up on its own.
How to set it up
For each connected calendar, click Watch to start monitoring it. Once watching, three checkboxes control which meeting types the bot joins:
| Checkbox | Joins when… |
|---|---|
| Team meetings | The meeting is internal (other participants are in your company) |
| External meetings | The meeting has external participants (e.g. candidates) |
| Meetings you were invited to | You're a guest, not the organiser |
Toggle any checkbox to update which meeting types trigger the bot. Toast: "Calendar settings updated successfully."
Click Stop watching to remove the watch on a calendar entirely.
Choosing the right mix
- Most teams start with External meetings on — that's where candidate interviews live — and leave Team meetings off so internal chatter isn't recorded.
- Turn on Meetings you were invited to if you sit in on interviews other people organise and still want the notes.
- The three boxes are additive: a meeting is joined if it matches any checked type, so think of them as "include this kind too," not a single fixed rule.
Note: Outlook calendar watching is not supported yet. Only Google Calendar supports auto-watch. (Tooltip: "Outlook is not supported yet.")
Troubleshooting — the bot didn't join. Walk the chain: is the calendar still Watching (not Stop watching'd)? Does the meeting match a checked type — e.g. an external interview with External meetings off won't trigger it? Is the calendar Google, not Outlook? And is there a real video link on the event for the bot to join? If you need the bot somewhere the rules don't cover, you can still leave it to the per-meeting toggle below.
