Configure your meeting assistant

Where: MeetingsAssistant (Pro).

Page heading: "Configure your meeting assistant"

Set this up once, before your first transcribed meeting. The defaults work out of the box — the only thing most teams change is the bot's name (so participants recognise it) and the languages (so the transcript is accurate). Five minutes here saves you re-explaining "what's that bot?" in every call.

Transcript Bot Settings

"Configure how the transcription bot appears and behaves when joining meetings."

SettingWhat it does
Name of bot joining meetingsDisplay name the bot uses in the meeting room. Defaults to: Vouch Transcription Bot
Service ImageThe bot's avatar in the meeting (recommended ratio: 16:9).
Initial MessageA message the bot sends when it joins. Placeholder: "Message that the bot will send to the meeting it joins the meeting"
Supported LanguagesLanguages the transcription engine should expect. Default: English. Select multiple languages if your interviews are multilingual.

Choose Save Settings when done. Toast: "Transcript settings updated successfully."

Getting the most from each field

  • Name — give it a name a candidate will instantly understand, e.g. "Acme Notetaker". An unfamiliar bot in the participant list can look like a stranger crashed the call.
  • Initial Message — use it to set expectations the moment the bot joins, e.g. "Hi — I'm here to take notes so the team can focus on the conversation." That one line is often all it takes to put a candidate at ease about being recorded.
  • Supported Languages — pick every language your interviews are actually held in. The engine supports a long list well beyond English, and naming the right ones up front gives you a far cleaner transcript than letting it guess. This is Vouch working in any language — the transcript follows the conversation, whatever language it's in.

Good to know. Leaving Supported Languages empty falls back to English. If a Norwegian or Swedish interview is coming back with garbled text, this is the first setting to check — add the language and re-run a future meeting.
